Working Together

This agreement sets out the terms of our work together, including my professional obligations around confidentiality. At our first session I will set aside time to discuss this with you and answer any questions. You will receive a copy to sign electronically before we begin working together.
I hold an MSocSc in Counselling from the University of Hong Kong (2017). I am a Registered Member of the British Association for Counselling and Psychotherapy (BACP), Membership No. 397064, and as such I abide by their Ethical Framework.
I am committed to providing an anti-discriminatory service and strive to ensure this is present in all our work together. I welcome clients of all backgrounds, cultures, identities, and orientations.
I am trained in an integrative therapeutic approach, drawing on Cognitive Behavioural Therapy (CBT), Emotion-Focused Therapy, and Bowen’s Family Systems Theory. This means I tailor my approach to your individual needs rather than following a single fixed method. For more information on therapeutic approaches, please see bacp.co.uk/about-therapy.
Sessions are held online via Google Meet, by appointment only, and are 50 minutes in duration. Sessions are typically offered on a weekly basis, though we can discuss the frequency that best suits your needs.
As all sessions are delivered online, there are some specific considerations to be aware of:
I offer both short and long-term therapy. We will discuss the planned duration of our work together during our initial consultation. If you wish to end therapy, I ask that you let me know as early as possible. I recommend at least one or two closing sessions to bring our work to a considered end, where possible. This helps ensure a safe and supportive ending.

I do not offer concessionary or reduced-rate sessions. Payment is taken at the time of booking via Stripe through Acuity Scheduling. I review my fees periodically and will give you at least four weeks’ written notice of any proposed changes.
I require a minimum of 48 hours’ notice to cancel or reschedule a session. Cancellations made with less than 48 hours’ notice are non-refundable. Late arrivals cannot be accommodated beyond the scheduled end time of the session.
My normal working hours are Monday to Friday, 9am to 7pm UK time. I only see clients by prior appointment. If you need to take a holiday or extended break, please let me know as early as possible so we can plan accordingly. I will give you a minimum of one session’s notice of my own holidays.
I work with clients only within scheduled sessions. Outside of these sessions, I am not available for therapeutic contact, and I am unable to respond to messages of a therapeutic nature between appointments.

As a BACP Registered Member, I am required to attend regular clinical supervision to ensure my practice is safe, ethical, and effective. Aspects of our work may be discussed in supervision in an anonymised form. Your full name and any identifying details will never be disclosed. My supervisor is bound by the same professional standards of confidentiality as I am.
I may wish to record a session via Google Meet for the purpose of clinical supervision. This helps me to reflect on my practice and ensure I am providing you with the best possible support.
Recording is entirely optional and will never affect your access to therapy or the quality of care you receive. A session will only ever be recorded if you have given explicit prior consent, indicated by signing the separate recording consent section of this agreement. You may withdraw this consent at any time by contacting me at roy@therapywithroy.co.uk, and this will not affect your therapy in any way.
Recordings are stored securely in an encrypted, access-restricted folder. They are shared only with my clinical supervisor and are permanently deleted within 30 days of the supervision session for which they were used. No recording will ever be used for any other purpose.
Sessions may not be recorded by either party without prior written agreement.
As a BACP Registered Member, I am bound by their Ethical Framework to protect your confidentiality. Everything we discuss in sessions is confidential, with the following exceptions:
In certain situations where you have expressed a clear intention to end your life, or where I have serious reason to believe this to be the case, we may agree — after careful discussion — to put in place a Keep Safe Plan. This would involve you agreeing to take specific steps to protect your safety, such as contacting your GP, a crisis team, or the Samaritans, should you feel at risk between sessions.
I am unable to deliver effective therapy if you attend a session under the influence of non-prescribed substances or alcohol. If this occurs, I will discuss it with you and we may agree a period of abstinence as a condition of continuing our work together.
I keep brief, accurate session notes to support the continuity of our work. Notes are stored securely on an encrypted, password-protected laptop used only by me. Paper notes are destroyed by cross-cut shredding once transferred to secure digital storage. Client records are retained for 7 years from the date of our last session, in line with BACP guidance, after which they are securely destroyed.
I am registered with the Information Commissioner’s Office (ICO Registration No. ZC100652). All personal data is processed in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. I am willing to write letters or reports where relevant and appropriate, but will require your written consent before doing so. A fee will apply, based on the time required to prepare the document.
